If you sincerely wish to reschedule You had the chance to book a meeting or interview with a company, mentor, or hiring manager. You are feeling excited! This is a great chance to advance in your career and business. But then you realize you screwed up and double-booked. There is no way you can make it. Try this Look at your calendar and find a reschedule time you are 100% sure is best. Write a sincere apology and attempt to reschedule. You broke the plans...so prepare to be flexible. Show them you truly regret canceling the first meeting by making the second meeting, no matter what the scheduling conflict. When writing an email, try a template like this: Hi [name], I’m so sorry for the late notice, but I’m not going to be able to make it tonight. I feel awful for not letting you know before today, but the fact is I have an upcoming deadline and I want to fully devote my time to our meeting without feeling rushed. Please accept my apology and consider rescheduling. Let me know if [date + time] or [date + time] works for you to reschedule. If neither of those dates is open, I’ll gladly work around your schedule. Again, I apologize for the late notice. Thanks, [Your name] If you never truly wanted to interview or meet up This usually happens when a person seems to back you into a corner and pressures you to set up an interview or meeting. You said you would, but you never really wanted to in the first place. Some seem to have the ability to get you to agree to things you never wanted. But now it is time to be direct and upfront with the person. Try this Let them know you have too much going on and will not be able to interview. Offer a way to set up a meeting or interview online via Skype, social media, etc. Make no offer to reschedule to meet in-person. Do not worry about their reaction(s) to you. You are just fixing up your mistake of agreeing to something you had no interest in doing: Hi [name], I was just looking at my calendar and realized I’m stretched way too thin this month; in fact, I will be for the next couple of months. At this point, it’s just not feasible to reschedule our interview/meeting. I’m sorry we cannot meet face-to-face but I’d be more than happy to answer any questions you have about [this topic]. Even if a company travels only once or twice a month, videoconferencing can save them tens of thousands of dollars a year, says Bernard Moon, CEO of Palo Alto, Calif.-based Vidquik, a web-based videoconferencing service for small business. Still, for entrepreneurs, theres a dilemma: For a customer whos got an agenda of middling importance, should I fly in an account manager or sales exec, or will a well-prepared videoconference do the trick? Lets look at some of the key inputs, including when to videoconference and when to travel. Effective Meetings: Is videoconferencing Cheap Enough? In recent years, the costs of videoconferencing of reasonable quality have plummeted from thousands of dollars to perhaps hundreds or less per year for a small business. Even just a few years ago, videoconferencing was a free, low-resolution experience where the medium was more of a distraction than a help, says Bernardo de Albergaria, vice president at Citrix Online of Santa Clara, Calif, which makes GoToMeeting with HD Faces. It was small thumbnails of the participants, all pixelated. Now its much better. Indeed, web-based videoconferencing has become cheap enough and good enough to make it worthy of consideration for several kinds of long-distance meetings. Videoconferencing vs. Teleconferencing Video has a particular value in those teleconferences where a substantial body of new information is communicated. Withteleconferencing, when we present new ideas or prototypes, theres no feedback from the audience, says Mike Huska, chief technology officer at Incential Software in Phoenix. Its hard to tell whether they like it or theyre lost. In a videoconference, you can see a smile, or confusion. Incential uses Citrix GoToMeeting. Video lets you read nonverbal signals, says Moon. For example, what might remain an uncomfortable silence on the phone can more easily be addressed and resolved when theres visual contact among all parties. Even among a group of far-flung colleagues with frequent contact and common goals, video helps to support the human side of working relationships. We have staff meetings, and video gives us the feeling of face time, says Huska. Internal meetings are also a good testing ground for added-value features that are popping up in more web-based videoconferencing services: screen sharing, presentation sharing, whiteboarding, private chat, and so on. Video and the Hiring Process With so many talented professionals available on the job market across the country, many entrepreneurs are itching to take their searches national. With initial rounds of video interviews, small employers can access the entire US labor market and narrow the candidate pool to a few finalists via virtual recruitment tools. Of course, videoconferencing can save lots of time in a regional recruitment effort as well. Recruiters are saying that they can be much more efficient via video meeting versus getting in a car to see a candidate, says Sean OBrien, an executive vice president at PGi, maker of videoconferencing service iMeet in Atlanta. The key is knowing how to interview virtually and follow the proper legal guidelines. When Can Videoconferencing Replace Travel? The toughest decisions about when to videoconference center on how you makes sales. For pitches with considerable potential, theres a consensus that the meeting must be face-to-face, literally not virtually. Theres no replacement for in-person, especially on the initial sales call, says Huska. Once that meeting has happened, the sales force may be able to reinforce the relationship with video meetings. We find videoconferencing is replacing many follow-up visits for our own salesforce, says de Albergaria. Of course, you cant decide in a vacuum when to meet by video and when to make the trip. The decision of whether to use videoconferencing instead of in-person should be based on the social norms of your industry and business community, says Moon. It makes sense to test the video waters with clients who seem comfortable with technology and flexible with meeting arrangements, and who trust you to make them happy in the long run. Every business owner needs to find what works for them, says OBrien.

A Lesson in Termination I remember the time I first had to let a manager go. I avoided the confrontation for as long as I could, but I knew that keeping this person in this management position was screwing things up for the business in the long run. I was scared to have the conversation and start over by myself again, but it was this experience that taught me how to face challenging circumstances. Now, if I ever feel scared or uncomfortable about something or someone, I can face it and know that I will always come out stronger and with more understanding because of it. Building Business Relationships I learned that making good business relationships is no different than making good friends. Trust needs to be built, honoring your word is important, and having a good time getting to know the other is equally important. Let the Nut Go! One of the most important things in business and in life is that we have to be OK letting things go. It may be hard but its the key to positive change. Releasing things actually feels so good and it can even save your life! The best way to catch a raccoon is to create a small hole in the mud. Put spikes on the sides facing inward, and put a nut down in the bottom of the hole. The raccoon will put his pay in the hole and grab the nut. If he tries to pull his paw out while holding the nut, the spikes will rip his arm out and he will die. However, if he lets go of the nut, his arm will safely come out of the hole. The tragedy is that the raccoon will never let go of the nut and eventually he will die. The moral of the story is: let the nut go! The things that you are holding dear will mean nothing if you will die trying to hold on to them. A Cool Sh*t Exercise Detach yourself from your business. Take a 1,000-meter approach and look at where your business was when it started, where it is now, and where it can go. See what things could be improved if you could lose your attachment to them and be open to change. Is there anything holding back your business or anything that no longer fits? Holding on to things for the sake of nostalgia doesnt make sense. Life and work is iterative. Doing cool s**t is an exercise in evolution. The team placed first in the design category, the men̢۪s and women̢۪s speed races, and the endurance event. ASMEs inaugural Engineering Festival (E-Fest) in South America, which was held July 27 to 29 in Rio de Janeiro, Brazil, marked another high point for the E-Fest program, drawing more than 500 participants from across South America and Mexico. The three-day ASME E-Fest South America, which was held at Universidade Federal do Rio de Janeiro (UFRJ), encompassed a variety of engaging activities, including a daily internship fair, a student leadership training session, tours of the UFRJ campus, networking opportunities, a keynote session featuring speakers from Stratasys and Hyperloop, presentations from industry leaders such as National Instruments, ANSYS and Altair, as well as several student competitions. A team of students from Universidad de los Andes, Bogota, was the big winner at one of those competitions, the ASME Human Powered Vehicle Challenge (HPVC). The team, which was named the overall winner of the three-day competition, also took top honors in each of the competitions main categories: the mens and womens speed events, the endurance race, and the design category. The team took second place overall during the HPVC at E-Fest South America. While Universidad de los Andes dominance during the HPVC in Brazil was hard to ignore, perhaps the biggest story at the E-Fest South America HPVC involved the team that placed second overall in the competition: Universidad del Zulia (LUZ). The team, which hails from Maracaibo, Venezuela, had the odds stacked against them just trying to make it to the E-Fest. The students, who had to start a fundraising campaign to participate in the competition, spent five days traveling to Rio de Janeiro, taking several buses, a couple of taxis, and a plane in order to reach the event. They even disassembled their bicycle and packed the pieces in their suitcases to save the expense of shipping it to the competition. Their spirit and determination paid off, though. In addition to finishing second overall, the team placed second in the design and womens speed events and third in the mens speed race. The teams members were also recognized for their efforts at the E-Fest South America awards ceremony. It was very important for us to come here because we wanted to show everybody, the entire world, that we could do it, said Leonardo Gonzalez, a member of the LUZ team, adding that he hopes their story encourages students from other universities around the world to participate in the HPVC. It was a great experience, he said. The team from Tecnolgico Nacional de Mxico en Celaya placed third overall, second in the men̢۪s speed event, and third in the women̢۪s speed event and the design category at the HPVC in Rio de Janeiro. The E-Fests host university, UFRJ, fared well in two other competitions that were held during E-Fest South America, the Old Guard Oral Presentation and Old Guard Poster Competitions.
